Introducing the LightReach + SiteCapture Integration

Securing LightReach milestones requires clear site documentation. Missing or poor-quality photos lead to rejections, while managing images across devices and folders causes lost files and tedious sorting. Consequently, installers experience costly site revisits and payment delays.

The LightReach + SiteCapture Integration addresses these challenges by embedding requirements and reference examples into field workflows. Photos are automatically tagged and attached to project records, enabling on-site quality checks and seamless milestone submissions without manual file transfers.

2. Enabling

To use SiteCapture, your organization and any sub-orgs with projects that will be submitted through this integration must enable the SiteCapture integration in LightReach. New sub-orgs do not inherit SiteCapture enablement and must be enabled separately for the integration to support their projects for fulfillment.

To request enablement of your organizations…

  1. Have an authorized administrator from your LightReach organization email [email protected], providing approval to enable the SiteCapture integration for:

    1. The name of the licensed organization (ensure to provide the company name as listed in LightReach)

      1. All existing sub-orgs will be enabled as part of the initial request. For any sub-orgs added after the initial enablement, follow step 3.

  2. Once LightReach confirms that enablement is complete, you will receive an email with a link to schedule a call with SiteCapture. During this call, SiteCapture will configure and activate the integration.

    Additional step, only if applicable: Should a new sub-org is created after the initial integration setup, ensure SiteCapture is enabled for the new sub-org.

  3. If you do not see projects from a newly added sub-org, reach out to Partner Activation to ensure it has been enabled for SiteCapture.

3a. Activation

To activate your SiteCapture integration, please confirm the following two requirements are complete:

  1. Ensure your organization has an active, accessible SiteCapture subscription. For inquiries regarding new account setup, connect with SiteCapture to review available solutions.

    • Choosing Your Subscription

      LightReach partners have various SiteCapture plan choices available.

      • SiteCapture Light provides a cost-effective option built specifically for Palmetto LightReach Solar M1 submissions. It accommodates up to 10 team members and allows up to 50 LightReach project submissions monthly, offering an ideal setup for installers handling strictly Solar M1 closeouts.       • Upgrading to a standard SiteCapture plan unlocks the platform's full capabilities, accommodating additional LightReach milestones like M2, expanding coverage to HVAC and Energy Storage trades, and streamlining internal closeout procedures beyond standard LightReach requirements. Teams can adapt these plans with custom features tailored to their operational needs, while taking advantage of ongoing updates designed to support new programs and evolving LightReach standards.

  2. Your LightReach organization and sub-orgs have been enabled for SiteCapture. See previous section for LightReach enablement steps.

Post-enablement, SiteCapture manages activation. Your enablement notification from LightReach includes a scheduling link for your SiteCapture representative, or you can email [email protected] directly.

3b. Configuration

After activation, you will be able to take photos, complete job closeouts, edit images, and fulfill LightReach program requirements, including:

  • M1 and M2 for Solar and Energy Backup

  • M1 for HVAC.

    • Please note: SiteCapture Light represents a budget-friendly plan dedicated strictly to Palmetto LightReach Solar M1 project filings. Refer to the Activation section above to learn more.

During the activation call with your SiteCapture representative, you will also complete the configuration of your workflows. Once setup is complete the integration can automatically generate projects within SiteCapture whenever a LightReach account achieves NTP status. These auto-generated projects capture details such as the homeowner name, property address, and LightReach account ID.

3c. Implementation

Using SiteCapture allows field teams to collect necessary project photos and documentation for LightReach approval. While these quick summaries provide a high-level summary, explore the embedded references throughout each section for detailed instructions.   • Required Fields

    Every project highlights the specific items necessary for completion. Mandatory inputs display in orange. Completing all orange-highlighted entries is required before updating the status to "Submit from Field." Select the camera icon alongside any item to take relevant photos. For comprehensive instructions, reference the SiteCapture Required Fields and Photos.

  • Edit as You Go

    Select any image to launch the editor and make adjustments. You can refine brightness or contrast, crop, rotate, insert text, or annotate directly onto the photo to ensure it satisfies project requirements prior to attachment.   • Works With or Without signal

    Edits are stored on your device and will synchronize to the platform automatically upon reconnecting to network service. Working without cellular coverage won't hinder progress.   • Ready to Hand Off

    After populating all required entries, update the project status to "Submit from Field" to transfer your data to office staff for final review. Reference Changing a Status within the SiteCapture Mobile Guide for step-by-step instructions.

  • Ready to Submit

    A manager reviews the photos in the SiteCapture web app, then sets the status to "Ready for Palmetto LightReach" to send photos and the PDF report to LightReach. See How it works (recommended workflow) for more details.

4. Troubleshooting

Getting Help

Q: Where do I send a problem I'm seeing in the SiteCapture experience?

A: For technical or integration issues within SiteCapture experience, submit a support request directly to [email protected].

For faster resolution, include the 7-digit SiteCapture Project ID for all impacted jobs. Located in the URL or information panel (see instructions), this ID is necessary for assistance. Submitting inquiries without this number remains the primary reason for service delays.

Q: What if the issue or friction point is happening in the LightReach portal?

A: For challenges encountered directly within the LightReach portal, contact Partner Activation at [email protected].

To expedite support, include comprehensive project details, a precise summary of the problem observed, and relevant screenshots or video recordings to help resolve the matter quickly.

Why Photos Are Not Landing in the Right LightReach Section

Q: Why are submitted images uploading to incorrect folders or missing completely within LightReach?

A: Misconfigured section keys inside template configurations represent the primary cause for routing failures. Every template category must correspond precisely to an approved key string and requires exact letter casing.

Review the complete overview of template keys at Section Keys for Integration. When using customized templates, verify these mapping assignments prior to contacting support.

Q: I need more than one section mapping to the same LightReach bucket, is that possible?

A: Supports many-to-one, not one-to-many: multiple SiteCapture sections can feed the same LightReach bucket

append an underscore + discriminator, e.g.

sc_roof_1, sc_electrical_inside

However, one section cannot fan out to multiple LightReach buckets. For more detail reference Section Keys for Integration.

Q: Why is a project not automatically generated when reaching NTP status?

A: Check that Auto-Create is enabled in your integration settings and that the LightReach job is actually in NTP status.

  • Please note that Auto-Create exclusively imports the last 20 NTP records upon initial activation. For any prior projects, you must manually construct a record that incorporates the corresponding LightReach Account ID.

Q: Why did the submitted photos/report never appear in LightReach?

A: Confirm the status was actually changed to "Ready for Palmetto LightReach" (or your configured trigger), and that the Palmetto LightReach Account ID field was populated before submission

  • Palmetto LightReach Account ID: sc_partner_account_id

This field is required for the integration to fire at all.

Workflow Challenges

Q: Why can I not create a SiteCapture job even though NTP has been achieved in LightReach and I verified the correct account ID?

A: First, check if the project was created by a LightReach sub-org. New sub-orgs are not automatically enabled for SiteCapture, so no job will be created even if NTP is achieved and the account ID is correct.

Q: Why are field users reporting that they cannot submit?

A: All required fields (shown in orange) must be completed before status can move to "Submit from Field."

Q: Why is “Submit from Field” not sending anything to LightReach?

A: In the recommended workflow, "Submit from Field" only signals the work is ready for QA review in the SiteCapture web app. Nothing reaches LightReach until an admin/manager reviews and changes status to "Ready for Palmetto LightReach."

Q: Is a new job required if I need to upload supplemental photos for an already submitted LightReach project?

A: Creating a duplicate record is unnecessary. Simply adjust the workflow status back to "Submit from Field" and advance it again to "Ready for Palmetto LightReach" to initiate the transmission. SiteCapture will transmit only the additional images.

Should field teams need to gather supplemental media, transition the job state back to "In Progress" to reactivate mobile access.

Q: Can field users submit straight to LightReach without QA?

A: Technically yes, it's configurable, but SiteCapture recommends keeping the QA gate, it's what prevents most of the resubmission tickets in the first place.
